A hypnotherapist contacted me asking for support. She had been searching for a UK based virtual assistant that specialised in supporting hypnotherapists for a while. 

Her main support needs revolved around establishing good processes for booking clients, requesting payment and managing clients at different stages of her programmes. She also ran retreats and workshops that needed set up and managed. Email marketing, automations, lead gathering and keeping her on top of different projects were all part of my working week.

I set up an email address for myself so that I could handle client admin directly without bothering this hypnotherapist. It meant that she didn’t need to deal with too many emails and her inbox only contained work that was relevant to her. 

I also had access to her email address. This allowed me to keep an eye on different projects and tasks that were ongoing, and also give her prompts and reminders for things that she needed to handle herself.

This client was already using Acuity Scheduling to book in clients. I took over the management of bookings and made sure that email reminders and work schedules were set up correctly within Acuity. When this hypnotherapist had transitioned to working online, I integrated Zoom with Acuity so each booking automatically contained a Zoom link. 

We agreed a set workflow for onboarding new clients and I set up a contract via Pandadoc that each new client was required to sign before beginning work with her. The contract covered terms and conditions, her professional qualifications and obligations, as well as data protection and GDPR.

This hypnotherapist did not have an established method of invoicing and taking payment. During one of our regular meetings, we decided on a method of invoicing and also allowing payment by card for smaller client purchases. From then on, I handled all invoicing, chasing payments and recording expenses. 

This client had a number of different programmes that required bespoke adjustments for each new one-to-one client. I handled making changes to each client’s homework and materials. 

Setting up automated email sequences in Flodesk for different types of clients. I would write initial drafts of the content, create images in Canva and ensure the templates matched her branding. 

I helped this hypnotherapist set up a quiz on her website that allowed her to gather leads. Using Zapier, I was able to have these leads automatically be placed in the correct email list and email automated workflow in Flodesk. 

Many of these leads would book consultation calls. We brainstormed the best way of moving these leads through to signing up for a programme. I set up the process and a way of tracking each lead in this workflow.   

I would regularly research appropriate publications, influencers and locations for retreats and workshops. Then I would reach out to these to try and keep work and PR flowing in for this hypnotherapist.

This client needed some assistant with personal matters such as arranging cleaners, researching holidays and booking restaurants.
